Why this exists.
This policy outlines procedures and criteria for managing weather-related impacts and potential cancellations for The Fall Showcase, hosted by Clutches & K9s at Segra Stadium. The objectives: ensure the safety and well-being of all attendees, participants, and staff; protect event assets; and provide clear, timely, paperless communication. Fair and transparent, reflecting CK9's community-first, family-friendly ethos.
Thresholds we watch.
Decisions are made by the CK9 Event Director in consultation with Segra Stadium management and, if needed, professional meteorological services.
Lightning
Any strike within 8 miles. Resume 30 min after last strike (30/30 rule).
Tornado Warning
Active warning for Fayetteville → evacuate to stadium safe areas or cancel.
High Winds
Sustained > 30 mph or gusts > 40 mph.
Heavy Rain
Consistent rainfall > 0.25 in/hr.
Extreme Cold
Air temp < 35°F or wind chill < 25°F.
Extreme Heat
Heat index > 100°F. Hydration breaks, shade, possible adjustments.
Hurricane / Tropical
Direct threat or significant impact in the Fayetteville area.

If weather forces our hand.
Postpone — preferred
As a pilot event, no fixed rain date is published. If conditions allow we'll reschedule within the Fall season, subject to Segra Stadium and featured-program availability. Tickets, bike entries, and vendor fees transfer automatically. If you can't make the new date, we offer event credit. Cash refunds only if the event is fully cancelled without a reschedule.
Partial-day
If weather hits mid-event, we prioritize critical moments (Service Dog Pass-Off, Bike Show awards) if safe. Pro-rated refund or credit considered for GA and bike entries based on time completed. Vendor fees are generally non-refundable on partial days due to setup costs.
Full cancellation
Full refunds for GA and bike show entries. Vendor fees refunded case-by-case based on costs already incurred. Once ticket sales open, refund and transfer details will follow the official ticketing platform policy.
For circumstances beyond CK9's control — venue-mandated closure, withdrawal of a featured program, public health emergency, government mandates — CK9 reserves the right to cancel or postpone without liability beyond ticket/entry refunds as outlined above.
Who's affected, how.
- Golden Ticket Hunt participants — if the main event is cancelled, the finale (prize distribution) is conducted virtually or at an alternative communicated location. The prize is still awarded.
- Bike show entrants — owners may withdraw if conditions are unfavorable. Partial credit or refund options communicated if a significant portion of the show is cancelled due to weather.
- Vendors — secure your tents and equipment. In case of cancellation, CK9 will work with you on future opportunities or partial credits.
Attendee responsibilities.

- · Keep your contact info accurate — especially mobile for SMS alerts.
- · Prepare for mid-October North Carolina weather — layers, rain gear, sunscreen, hydration.
- · Follow all Segra Stadium rules and emergency procedures, including evacuation routes.
Organizer responsibilities.
- · Proactive monitoring of forecasts from multiple reliable sources (NWS, local meteorologists) and stadium conditions.
- · Timely decisions within the communication timeline above.
- · Clear, consistent updates across all channels.
- · Safety of participants, staff, and attendees above all else.
